About the Client:

JCC is a pluralistic Jewish community center that offers childcare, preschool, after-school programs, summer camps, family programming, and holiday events. These signature areas are the building blocks for young families to make new friends, connect to a community and craft their own path. JCC is inspired by Jewish values and ideas and welcomes all families regardless of background. 

The Challenge:

Prior to using monday.com, JCC had a variety of spreadsheets and processes across all of their teams. They were working with a lot of different data, including information related to grants, donations, childcare and nurseries, and room reservations. Because of the large volume of information and as this data was constantly changing, this made it difficult to maintain continuity for reporting and streamlining JCC data, making collaboration difficult across half a dozen locations. Many of their team members would spend hours compiling data for reports, making their already busy jobs even harder to manage.

JCC had purchased monday.com with the intent to build processes, but found themselves struggling to use the tool on their own. They knew they had the right tool, but needed a strategic partner to help them get organized and come up with the right set up. 

The Solution:

JCC needed simple, user-friendly boards to house their data. While that would have been an achievement, OrangeDot was able to exceed their expectations by building cross collaborative workflows, automations, and dashboards to support the various locations and teams. 

OrangeDot provided many new solutions, but the nursery, donation, and grant management boards have had the most impact. The nursery board allows JCC to easily track all data on their students, organized by classroom. From allergies, emergency contacts, invoices, and more, it’s all at their fingertips in one central location. 

JCC can also now monitor all information related to donations across all locations on their donation board. This includes data related to the specific donor, allowing them to see lifetime donations from one individual. They now have the ability to see all donations in one space, saving them the time of aggregating donations into a spreadsheet. 

Lastly, their new grant management board allows the team to see everything they need to do from a project management standpoint to get a grant submitted. They can see the progress of each grant and when grants have been completed and submitted. 

The Impact:

By eliminating spreadsheet chaos, JCC built clear, automated project management processes the team can rely on. They were able to access comprehensive reporting, which they never had with their siloed spreadsheets. This reporting provides full visibility into day-to-day operations, allowing them to get ahead of roadblocks and make adjustments as needed to keep operating smoothly. Prior to OrangeDot’s support with their monday.com implementation, many team leads were spending upwards of 3 hours per week compiling data. With the new dashboards, it takes them less than 5 minutes to find the data they need for weekly meetings. As there are many stakeholders and partners within JCC, this data is priceless. 

In addition, they now have streamlined processes and boards to manage their data and collaborate efficiently across five locations, saving them several hours of manual work each week. This greatly reduced the amount of emails back and forth between teams and locations, now that they are able to communicate directly in the system. JCC is now able to complete the admin work for many of their programs 60% faster than they did prior to monday.com. Lastly, because the OrangeDot team worked closely with Raquel Ostrovsky, JCC’s Director of Administration, through ongoing support, Raquel has the confidence and skill set to create and manage boards and automations within monday.com on her own.
