The Challenge

Frontline’s strategic marketing and production teams deploy hundreds of campaigns per year, all of which have their own unique tactics, deadlines, and owners. Managing a high volume of campaigns means the team needs reliable technology to keep them organized and in the know. 

As an avid user of monday.com, Frontline’s team appreciated all the customization and capabilities that were available to them. However, the marketing team couldn’t fully utilize monday.com because of their unsuccessful initial setup from working with another consultant. 

Because of their rushed Discovery and implementation processes, Frontline didn’t have all of the information or strategic guidance they needed to be set up for success, especially in terms of solution design. During the Discovery phase, it’s critical for monday.com partners to have a collaborative approach, which ensures a two-way conversation to help gather key information. Instead, Frontline’s consultant proposed a premature plan that was missing a lot of important details unique to their business. 

In addition, the misguidance they received led them to integrate a third-party application, Make, which severely slowed down their systems and often led to technical breakdowns. Originally intended to add a layer of automation, Make couldn’t handle the volume of campaigns Frontline was pushing out, as it would create a new board for every single campaign, surpassing monday.com’s generous limit. This setup put significant strain on their monday.com workspace, to the point where their monday.com account crashed and was not usable for five business days. 

The Solution

When OrangeDot came into the picture, they helped Frontline start over on a completely clean slate. Although this sounds extreme, it was needed due to the state of their monday.com workspace. OrangeDot conducted a rigorous Discovery phase and helped Frontline re-shift their focus with how they were operating. For example, it was unnecessary for a new board to be created with every single campaign. Instead, OrangeDot recommended a three-tiered approach: a pre-planning space for brainstorming, campaign planning, and campaign execution. 

Part of this reorganization included categorizing boards by tactic: i.e. a dedicated board for email deliverables. This significantly reduced the number of boards Frontline had to manage, from hundreds to just 13 boards. This allowed Frontline to have both a high-level understanding of where their campaigns stood, as well as a granular view that gave them specific details on deliverables. 

Lastly, OrangeDot helped Frontline get a strong grasp on their resource management efforts, an important element that was missing from their operations. Historically, the team had not tracked how much time team members were spending on campaigns or individual deliverables. Incorporating resource management into their monday.com workspace allowed the team to properly track team workload, a game changer for organizations that execute a high volume of campaigns each year. 

The Impact

OrangeDot’s new solution for Frontline was a blend of strategy and tactical execution, something that Frontline immediately needed to get campaigns back on track. With their new solution, Frontline finally has stability in their systems, which has been missing for a long time. Boards that generally took several minutes to load now take a few seconds to pull up. Eliminating the third party app, Make, and having only 13 boards to manage vs hundreds, ensures their entire monday workspace will run more smoothly. 

With their previous solution, Frontline’s source of truth was scattered across an ever growing, unlimited number of boards. Now, the latest data is easy to access and project updates are clearly visible from both a high level and detailed view. 

One of the biggest impacts with the added functionality is the ability to auto set campaign timelines and deadlines for deliverables. Previously, the team was manually figuring out dates and milestones, working backwards from every single campaign - now, monday.com figures everything out for the team, saving them hours of time per week. 

Between this and resource management, Frontline can approach their campaigns proactively vs reactively, allowing them to easily address roadblocks along the way, and also make tweaks for future campaigns. The intel they have access to is priceless and they finally have the confidence to simultaneously and successfully manage hundreds of campaigns!
